Save the Children has worked in Indonesia since 1976 to promote health and nutrition, education, child protection, livelihoods, and emergency preparedness and response. Save the Children has grown enormously in the country and today we operate in 13 provinces across Indonesia. Our program in Indonesia has made significant progress at the national policy level. Currently Save the Children immediately need for a experienced staff to be part of our Grants & Sub Grants team and will be based in Jakarta.

The position we are looking for:

Grants & Sub Grants Assistant (code: GSG Asst – Jakarta) – based in Jakarta

The Grants and Sub Grants Assistant is responsible for supporting the Grants and Sub Grants Manager in managing Grants Database both Indonesia and International, and managing the local partners. He/she will also assist Grants and Sub Grants Manager in managing the Indonesia Grants & Sub Grants portfolio focusing on compliance and obligations.

Job Responsibilities:


1. Manage Indonesia program grant and sub grant database, sharing information with HO and Sr. management as required. Provide support in regards of manage a portfolio Grants & Sub Grants unit with responsibilities to include:

a. Upload proposal, budget, agreement and any other documents instructed by Grants and Sub Grants Manager into system.

b. Monitor reporting schedule, monitor submission report to donors and file its evidence.

c. Monitor, upload updated grants information into Indonesia CO Grants Database.

2. Assist Grants & Sub Grants Manager to provide budget support to Program Managers and Budget holder with the responsibility to include:

a. Administration and information support during annual budget process.

b. Forward information in regards to the status of budget and expenditures of grants.

3. Support for Grants and Sub Grants Manager in providing assistance for Program Managers and /or Budget Holders in terms of mapping major grants activities to the appropriate donors, and conducting necessary analysis to control the spending of the grant.

4. Manage selection process of Sub Grants under supervision and discussion with the responsibility to include:

a. Conduct pre-award assessment survey, and scoring.

b. Review the Sub Grant budget proposal, and to make budget finalization.

c. Prepare the Sub Grant agreement and/or amendment.

d. Prepare cash flow of the sub grantees based upon the proposal/timeframe.

e. Conduct financial report training to partners.

f. Review the financial report of Sub Grantees before Grants and Sub Grants Manager approval and submission to Finance for processing.

g. Prepare and monitor fund transfer to Sub Grantees.

h. Conduct monitoring visit to Sub Grantees.

i. Conduct close-out Sub Grants.

5. Work with sub grantee for managing the sub grants, from monitoring the expenditures against budget, identifying and solving the issue in related to the sub grant.

6. Assist Grants and Sub Grants Manager in providing technical support in training/workshop if necessary.

Occasional Significant Duties

1. Support Grants and Sub Grants Manager in annual audit and or programmatic audit in terms of preparing, collecting data needed by the auditor.

2. Significant other duties as assigned by Grants and Sub Grants Manager.

Requirements:
Education: Bachelors University Degree in Accounting and/or Finance Management.

Skill and Experiences:

· Minimum 1 years working experience with non-Government organizations or with international NGOs.

· Working knowledge of standard accounting procedures.

· Working knowledge of Federal & Non federal donors regulations will be highly appreciated.

· Concern for detail and analytical thinking.

· Identify areas to improve the quality of Grants Management and make recommendation.

· Ability to work well in team and also to work in minimum supervision.

· Proven ability to up to date Indonesia Grants Database (preferable).

· Strong computer skills (Microsoft and accounting system).

· Fluent in English, verbal and writing.

· Integrity.
